Questions covered in this guide
Put a name beside every measurement
Use a simple opening list: room, wall and a unique label such as kitchen one. Copy the dimensions shown on each proposal exactly, including the units and any size code. Then add a column asking what those numbers describe. An unlabeled measurement is a question for the supplier, not a reason to alter an order yourself.
Separate the opening from the product
Pella explains that a window size notation may describe the framed rough opening or the exact window size. It also distinguishes standard sizes from products that are actually in stock. Ask the bidder to identify both the measurement basis and the ordering status. A familiar-looking size code does not tell you either answer on its own. These examples come from a manufacturer; use the sizing convention for the actual product being proposed.
Resolve differences before the order is released
For each opening, record the quoted size, final ordered size, operating style and person responsible for the final measurement. If two proposals list different numbers, ask whether they retain different components or describe different parts of the opening. Request a labeled sketch when the written explanation is unclear. Have the installer identify any proposed opening alteration and price that work separately. Avoid applying a generic clearance deduction found online; ask for the product-specific ordering and installation requirements. A homeowner's approximate dimensions are useful context, but the order should have an agreed measurement owner.
Make the final check easy to use
Before approval, reconcile the opening labels on the quote and order confirmation. Mark each row confirmed or awaiting explanation, and keep a dated copy of the final version. Ask how a measurement or specification correction would affect price and scheduling. The window calculator organizes quantities and supplied prices; it does not produce manufacturing dimensions. Count complete replacement openings consistently and use your confirmed quote for unusual sizes instead of assuming every window with a similar appearance costs the same.
Putting it into practice
A labeled opening register tracks quoted versus ordered dimensions, their measurement basis and the person responsible for the final measure. It converts apparent size discrepancies into explicit questions before manufacturing rather than recommending homeowner sizing deductions.
